Anyone who wants to automate workflows in their company quickly ends up with two names: Zapier and n8n. Both connect applications, and both have their fans. Which tool fits depends less on features than on three questions: how complex are your workflows, how often do they run, and where may your data be stored?
In short
Zapier is the quick route for manageable workflows. n8n is the better choice for complex workflows, many executions and high data protection requirements. Many companies start with Zapier and switch to n8n later as their workflows grow.
The comparison
| Zapier | n8n | |
|---|---|---|
| Hosting | only in the provider’s cloud | cloud or your own server |
| Data location | US provider | freely selectable when self-hosted, for example Germany |
| Cost | monthly, by number of executions | Cloud: monthly plans · Self-hosted: server and ongoing support, no cost per execution |
| Getting started | very easy | somewhat more technical |
| Complex logic | possible, but quickly becomes hard to follow | branching, loops, custom code |
| Integrations | thousands of ready-made apps | many ready-made building blocks, everything else via interfaces |
| AI | AI steps available | AI building blocks, also with your own models |
As of November 2026. Prices and features change; current details are available from the providers.
When Zapier is the better choice
- You want to implement a simple workflow within a few days.
- The workflows run a few hundred times a month, not tens of thousands.
- There is nobody who should look after a server.
- The data being processed is non-critical.
When n8n is the better choice
- Workflows have many steps, conditions or special cases.
- They run very often, for example with every order or every login. Then costs per execution quickly become expensive.
- Personal or sensitive data should not leave Germany.
- You want to be independent of a provider and its price increases.
Our experience
For smaller workflows we use Zapier, simply because it is quicker. Once workflows become business-critical, we usually rely on n8n on a dedicated server in Germany, with backups, error notifications and tested updates. What that looks like in detail is shown by the insights on our AI page.
Many people underestimate one thing: it is not the tool that determines success, but how cleanly a workflow is built. What happens if a system is briefly unavailable? What if a contact already exists? Who notices when something goes wrong? These questions have to be answered with both tools.
FAQ
Can you switch from Zapier to n8n?
Yes. Workflows cannot be transferred automatically, but they can usually be rebuilt without difficulty. Often they become simpler in the process, because n8n allows more logic within a single workflow.
Do you need programming skills for n8n?
Not for simple workflows. For more complex workflows, error handling and running your own server, technical knowledge helps. That is exactly what service providers like us are for.
What about Make?
In many respects Make sits between Zapier and n8n: visual, more powerful than Zapier, but also cloud only. The basic considerations from this comparison apply in a similar way.
