What can be automated in your business? The self-test

Ten questions, two minutes: find out how much automation potential lies in your workflows.

Many companies suspect that time is being lost in their workflows, but do not know where to start. Answer the ten questions honestly. At the end you will see how much automation potential your business has.

  1. Are enquiries from website forms or emails transferred by hand into a CRM or a list?
  2. Do you create quotes or invoices by copying data from one system into a template?
  3. Are there regular reports for which figures have to be gathered from several systems?
  4. Does it happen that enquiries or quotes are left sitting because nobody follows up?
  5. Are invoices or receipts filed or forwarded from the inbox by hand?
  6. Do you answer many similar customer enquiries from scratch each time?
  7. Are there workflows that only one particular person knows and that stall when they are absent?
  8. Do you maintain the same data in several systems, such as CRM, accounting and spreadsheets?
  9. Do employees spend more than two hours per week copying, retyping or sorting?
  10. Do you work with tools such as Pipedrive, HubSpot, lexoffice, Google Workspace or Microsoft 365?

How to read the result

  • 0 to 3 times yes: Your workflows are already lean. Individual automations can still be worthwhile, for example for reports or follow-ups.
  • 4 to 6 times yes: Clear potential. Usually two or three workflows can save several hours per week.
  • 7 to 10 times yes: A lot of time is going into routine here. Automation will bring you noticeable relief, and it has often paid for itself within a few months.

What happens next

Every yes stands for a workflow we have built many times before. You will find examples in the Workflow Library, an estimate of the time saved in the time calculator and an overview of the costs in the guide “What does automation cost?”.

Potential discovered? In the initial call, we look at your yes answers and tell you which workflows are worth doing first. More about AI & Automation
